CSSBuy Parcel Documents: A Checklist Before Customs Clearance

Prepare consistent recipient, goods and value records, with official references for the USA, UK, EU destinations, Canada, Australia and Brazil.

Your next step

Make the item, value and recipient records consistent, then use your destination authority’s current guidance instead of a universal declaration amount.

This is a document-preparation checklist. It does not calculate tax, repeat the order-budget section or recommend under-declaration.

Keep a private document set before dispatch

Save the order confirmation, invoice or equivalent purchase record, proof of the amount actually paid and the final item list for the parcel. Preserve the original currency. Keep the parcel reference and any carrier documents with that set so a later request can be matched to the correct shipment.

CBP’s indexed official invoice guidance calls for adequate merchandise information. Across destinations, the exact required forms and procedure must be checked with the responsible authority or carrier. An agent’s order summary is useful evidence, but do not assume every screen automatically satisfies a customs document request.

  • Recipient details matching the actual delivery and required identification records.
  • An accurate description and quantity for each item, with supporting purchase records.
  • Price paid and currency, with delivery or other charges identifiable where needed.
  • The final parcel contents list, not a list including items left in storage.
  • Copies of any additional specification or permit requested for the goods.

Choose the authority for the actual destination

A country-themed spreadsheet domain does not determine the import procedure. Follow the destination and shipping method of your parcel. Postal and courier processes, special territories, item types and current rules can differ. The links below are starting points for those checks, not a single tax table.

Brazil’s Receita Federal manual specifically addresses recipient identification for international parcels. Keep such identity information in the official private process, never in a public Reddit screenshot. If a record is missing or inconsistent, ask for a correction before dispatch rather than guessing a replacement.

Respond to a genuine request with consistent evidence

If the carrier or authority asks for documents, independently open its official website or the verified account channel before uploading them. Note the requested document, reference and response deadline. Ask for clarification if the request concerns a parcel you cannot identify.

Do not invent a material, classification or value to fill a blank. Use the actual purchase evidence and ask the responsible service what is required when information is unavailable. A previous parcel’s clearance, a forum value-per-kilogram suggestion or a tax-free route label is not a guarantee for this shipment.
